This Privacy Policy (the “Policy”) outlines how we collect, use, disclose, and safeguard your personal information in accordance with the Australian Privacy Principles (APPs) under the Privacy Act 1988 (Cth) and the choices available to you regarding the use of your personal information.

By using our websites, applications, learning platform, training or services, or otherwise providing us with your personal information, you consent to us collecting, holding, using and disclosing your personal information as described in this Policy. If we are not able to collect, handle, use and disclose personal information about you as set out in this Policy, we may not be able to provide you with our services or with access to our services, websites or platform. 

Personal Information We Collect

The information that we collect depends on the nature of your interactions with us. In this Policy, personal information has the meaning given to it in the Privacy Act 1988 (Cth). We may collect personal information about:

  • Our clients, business associates, potential clients and their personnel (including employees and other workers who engage with our training services);
  • Prospective clients and their personnel;
  • Individuals who use or interact with our websites, applications, training programs, platforms or learning management system (LMS);
  • Our suppliers, contractors, employees, and prospective employees; and
  • Other people who come into contact with us or a representative, employee or agent of us.

Personal information we collect may include, but is not limited to your:

  • Full name
  • Email address
  • Occupation, position or role
  • Company or employer name
  • Username and password (where applicable)
  • Engagement with training
  • Learner progress data such as course enrolments, completions, quiz results, and activity logs
  • Training feedback and other information regarding the experience of using our training services
  • Information to enable the design and customisation of training for clients
  • Contact details and other information relevant to providing our services.

We do not collect sensitive information unless it is provided with consent.

Collection of Personal Information

We will generally collect personal information:

  • From you directly when you provide your details to us or from your employer. We may also collect information about you from your use of our website, our training, our platforms, learning management systems or other systems (including via cookies);
  • From you indirectly through emails, forms, face-to-face meetings, interviews, registration and attendance at training, online queries, and telephone conversations, and through use of the services available through our websites, applications and social media channels (including any blogs and LinkedIn channels); and
  • From third parties in limited circumstances, for example, where a client or authorised representative provides learner data. 

Purpose of Use

We will  collect, hold, use, and disclose your personal information for the  purposes for which it was collected, namely:

  • To conduct our business;
  • To design and customise training courses;
  • To enrol and manage access to training courses;
  • To track, review and report learner attendance, engagement and completion;
  • To provide customer support and communicate about our training;
  • To improve our training content, services, and platform functionality;
  • To provide and market our products or services;
  • To communicate with you to provide or promote our products or services;
  • For training and quality assurance purposes; and
  • To communicate with clients and individual learners about courses they have licensed.

We may also use and/or disclose your personal information for other purposes to which you consent, or which are required or permitted by law. This may include a secondary purpose that is related to a purpose for which we collected it, and for which you would reasonably expect us to use or disclose your personal information.

Disclosure of Personal Information

We may disclose your personal information (including, in certain limited circumstances, your sensitive information) for the purposes for which it was collected (as described above) to:

  • Our employees and contractors;
  • Authorised representatives of our clients for the purpose of reviewing or maintaining records of engagement, attendance, training feedback or learner progress;
  • Third-party service providers who may operate our learning management system, store our learning content, provide platform hosting or provide other services to enable us to design or deliver our training programs;
  • Regulatory authorities or law enforcement agencies where required or authorised by law; and
  • Other entities or individuals with your consent.

Some disclosures may involve transferring personal information to overseas recipients. This may include other third parties, companies and contractors who assist us in providing services (such as designing, storing, hosting, delivering our training programs) or who perform functions on our behalf (such as third-party service providers, marketing and advertising services or specialist consultants). We take care where possible to ensure such recipients maintain acceptable standards of data security.

Information About Children

Our training services may be used by individuals under the age of 18 in workplace settings. We only collect limited personal information (such as name, role and email address) concerning individuals under 18 years of age if it is necessary to provide access to our training platform or our services. We may also monitor such individuals in their engagement with, and completion of, training.

Where an individual is under 18, we rely on their employer to ensure that our training and services are suitable and appropriate and that the provision of their personal information is appropriate, and that all necessary consents have been obtained. If you believe we have collected personal information from a minor without proper authorisation or consent, please contact us at privacy@beonlinetraining.com.au so we can investigate and, if necessary, delete the information.

Cookies and Tracking Technologies

Our websites and platforms may use cookies and similar tracking technologies to enhance user experience, analyse website usage and improve functionality. In some cases, our training programs may also contain links to sites managed by third parties, and these may also contain cookies and similar tracking technologies.

Cookies are small data files stored on your device which generally help the receiver recognise returning users, maintain session information, and gather anonymous analytics data. You may manage or disable cookies through your browser settings; however, this may affect some features or usability.

We are not responsible for the cookies, tracking technologies, or data collection practices of any third parties, including those we use to enable the design, delivery, hosting, storage or tracking of our training programs. This includes third-party service providers, platforms, tools or other services that you may visit or interact with to access our training programs. It may also include third party websites you access via our training programs. We recommend reviewing the privacy and cookies policies of any such third parties to understand how they may collect and use your information.

Storage and Security

We may hold your personal information in any combination of data storage facilities, cloud computing facilities or paper-based files, which may be operated or held by us or by third party service providers or licensors under a contractual arrangement. These services may provide hosting services in Australia or overseas. 

We will use reasonable endeavours to maintain the security of your personal information from unauthorised access, modification or disclosure or misuse and loss. We cannot ensure or warrant that your personal information will always be secure during transmission or protected from unauthorised access during storage. 

We retain personal information only as long as necessary to fulfil the purposes outlined in this Policy or as required by law. When no longer required, information is securely destroyed or de-identified.

Access, Correction, and Deletion of Personal Information

You have the right to request access to personal information we hold about you and to seek correction of any inaccuracies.
